43 Issue 6 | 2019 | S upporting Y our P ractice  Install an alarm system that includes motion detectors, door and window sensors, an indoor siren and broken glass sensors.  Assign unique passwords to staff members to track who enters the office. Don’t give out the master password to employees.  Use office keys that can’t be duplicated, and limit the number of staff who have keys.  Record serial a nd model numbers for equipment and electronics. Keep receipts in case you have to report a theft.  Lock laptops in a secure place when the office is closed.  Install security software that enables you to erase your hard drives remotely if your computers are stolen. This function is included with some newer operating systems but it still needs to be activated. Safeguard Digital Equipment and Files Your computers, appointment files and digital records are the lifeblood of your practice, and can be damaged by fire, theft, or computer breakdowns.  Use power bars with electrical surge protectors; a battery back-up power supply with built-in surge protection is recommended.  Update your security software, web browser, and operating system with the latest versions.  Install a software firewall or hardware device that monitors and controls external connections to your computer and network.  Create strong passwords and change them regularly. Multi-factor authentication provides added security.  Establish security and privacy policies and ensure all employees know how to handle and protect patient information and other vital data. Avoid Third-Party Lawsuits People may file a claim if they’ve been injured or their property was damaged while on your premises. Water or fire damage to adjoining offices can also be grounds for a lawsuit.  Regularly clear snow and ice from the outdoor stairs and walkways leading to your premises.  Install hand-rails that are secure and easy to grip.  Ensure floors are carpeted or have good traction— people can trip on wrinkles in rugs, or slip on floors.  Clean up all spills immediately. Have a Contingency Plan Unexpected events such as fire or flooding can force your office to close unexpectedly.
